Thank you for using PayTrack. Your privacy is important to us. This policy explains clearly and honestly what data we collect, where it is stored, and how it is used.

PayTrack is a personal work-log and salary tracking application. You can use the app fully without signing in — all your data stays on your device in that case. If you choose to sign in with Google, your data is securely backed up and synced across your devices using Google's cloud services.

2.1 Account Information (Optional — only if you sign in)

If you choose to use Google Sign-In, we collect:

Your Google email address (used as your unique identifier)
Your Google User ID (via Firebase Authentication)
Your display name and profile picture (provided by Google, used for display purposes only)

Sign-in is entirely optional. The app is fully functional without an account.

2.2 Work & Financial Data (Only if signed in and sync is enabled)

To provide real-time sync across your devices, the following data is stored in Firebase Firestore — a cloud database managed under our Firebase project:

Work Days (workDays collection):

Date, start time, end time, break duration
Calculated hours, gross pay, net pay, deductions
Tax, Social Security (SSC/NI) calculations
Bonus/tip amounts, one-time deductions, rate overrides
Personal notes and note image references
Leave time segments (partial leave type and duration)
Associated job profile ID

Leave Entries (leaveEntries collection):

Date and leave type (paid, unpaid, sick)
Notes and pay override amount

Salary Settings (settings collection):

Hourly rate, payment type (hourly / daily / per job)
Tax configuration (period, filing status, rates)
Deduction rules and pay period settings
Company name(s) and associated configurations

Job Profiles (jobs collection):

Job profile name and associated salary settings
Archive status

Financial Goals (goals collection):

Goal title, target amount, current saved amount
Completion status and creation date

2.3 Photos & Media

Note images attached to work logs are stored in a hidden AppData folder within your personal Google Drive — not in our Firestore database. These files are only accessible to you and are never read by our servers.

2.4 Notifications

The app may send local notifications to remind you to log working hours. These notifications are processed entirely on-device and no notification data is transmitted externally.

We use the data described above solely to:

Authenticate your identity securely via Firebase Authentication
Sync your work logs, settings, goals, and job profiles across your devices in real time
Display your earnings, deductions, and summaries within the app
Send on-device reminders to support your logging habits
Maintain and improve app performance and reliability

We do not use your data for advertising, profiling, or any purpose other than delivering the app's core functionality.

Important: Firebase Firestore data is stored in our Firebase project, hosted on Google's infrastructure. While Google provides and secures the underlying servers, we (PayTrack) are the data controller for all Firestore data. Data stored in your Google Drive AppData folder is controlled exclusively by you.

We do not sell, rent, or share your personal data with any third parties.
All data transmissions are encrypted in transit using TLS/HTTPS protocols, as provided by Firebase and the Google Drive API.
Firestore data is secured by Firebase Security Rules, which restrict access strictly to the authenticated user.
We do not have employees or third parties who access your individual financial data.

delete_sweepYour Rights & Data Deletion

You have full control over your data:

Use without an account: You can use PayTrack without signing in at any time.
Sign out: Signing out immediately stops all sync activity.
Delete note photos: You can remove images directly from your Google Drive at any time.
Wipe all data: The in-app "Proceed To Wipe Data" tool permanently deletes all your records from both Firestore and local device storage.
Manual Firestore deletion: All Firestore data is stored under users/{your_email}/. You may also contact us and we will delete your data within 30 days.

child_careChildren's Privacy

PayTrack is not intended for use by children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

updateChanges to This Policy

We may update this privacy policy from time to time. When we do, we will update the "Last Updated" date at the top of this page. Continued use of the app after changes constitutes acceptance of the updated policy.
